Planning photo and video coverage for your event: our checklist

An event lasts one night. The images and videos live for years — on your flyers, your socials, your next sponsor deck. Good coverage does not happen by chance: it is planned. Here is the checklist we use with organisers before every party, gala or tournament.
1. Start with the goal
Who will see the content? Guests, sponsors, future ticket buyers, the press — each needs different images.
What do you need afterwards? A recap video, a photo gallery, short clips for social media, visuals for the next edition’s flyer.
2. Share the run of show
The timeline. Doors, speeches, performances, awards, the moment the DJ drops the big track — we need to be in the right place at the right second.
The must-have list. Sponsors’ banners, VIP guests, the team photo, the product on stage. Write it down; we will shoot it.
3. Think vertical and horizontal
Two formats, one shoot. Horizontal for the website and the recap film, vertical for Reels, TikTok and Stories. Planning both from the start avoids awkward crops.
Photo and video together. One team for both keeps the look consistent and avoids two crews fighting for the same spot.
4. Plan the light and the sound
Clubs and evening venues are dark and colourful: we bring the right lenses and lighting, and we check the stage lights before guests arrive.
Speeches and performances need clean audio. A feed from the sound desk makes all the difference in the final film.
5. Respect your guests
Let people know they may be photographed and filmed — on the ticket page, at the entrance, or both.
Plan a quiet option for guests who prefer not to appear, and ask for written consent before using someone as the face of a campaign.
6. Agree on delivery before the event
A teaser first. A short clip or a handful of photos shortly after the event keeps the energy alive while people are still talking about it.

Formats ready to post: web-sized images, vertical cuts, subtitles.
7. Keep the brand consistent
